We are often asked what kind of tasks we perform for our clients. Since we follow our clients' procedures, every case is unique. But here are some examples of back office tasks that we routinely process.

New Business Submission ReSource Pro Tasks

Receive Application

  • Application data received by e-mail/e-fax is entered in Agency/Carrier systems
  • ReSource Pro (RSP) clears submissions in agency and carrier systems
  • If data is missing, RSP sets up a request for additional information
  • RSP sends e-mail acknowledging receipt of application
  • Underwriter notifies RSP to enter underwriting data into agency system
  • RSP pulls additional information from other sources such as Price Digest (vehicle information) & Silver Plume (territory code)

Analyze Data

  • Quick analysis about suitability, based on agency guidelines
  • RSP forwards application & letter to Underwriter to review and qualify account
  • If account qualifies, Underwriter notifies RSP to enter underwriting data into agency system

Generate Quote

  • RSP conducts Boeckh's building valuation
  • Rates Rackley ISO CGL for base premium
  • Sends worksheets to underwriter
  • Underwriter conducts analysis to rate premiums
  • RSP enters premium data into Agency system to generate quote
  • RSP e-mails quote document to broker
  • Follow up with broker via e-mail (RSP) or phone (non-RSP)

Bind Submission

  • Bind order received from broker by e-mail or e-fax
  • RSP enters into agency system to generate binder and invoice
  • Sends e-mail or fax to broker

Issue Policy

  • RSP enters all information on insured, risk characteristics into Agency system
  • Sends bind request to Carrier
  • Gets confirmation number from carrier and enters in Agency system
  • Generates policy from Agency system
  • e-mails/Issues policy to broker

Invoicing, Payment & Notice of Cancellation

  • RSP sets up invoice in Agency System and sends pdf invoice to broker
  • If payment not received, RSP e-mails account due notice
  • After 20 days - Notice of Cancellation e-mailed to broker
  • Hard copy mailed by client (non-RSP) to carrier
  • After 10 days e-mail reminder (RSP) or phonecall (non-RSP)
  • Payment received - accounting or RSP enters data into agency system
  • RSP generates recission notice and e-mails to broker

 

Order & Review MVRs

ReSource Pro handles a variety of MVR requests: individual requests as part of insured’s hiring process, monthly reports for adding & deleting drivers or long lists when account is bound or renewed. For example, a Program Manager forwards driver information to ReSource Pro staff who enter key information (name, license #, date of birth, state, etc.) in the agency system and orders the MVR through ADR. When ADR returns the MVR report, ReSource Pro reviews the report, determines if drivers fit within program parameters and prepares a letter to highlight driver issues or restrictions. ReSource Pro forwards the letter to the insured.

Handling MVR requests is time-consuming but critical to program success and carrier relationships. By taking responsibility for this task, ReSource Pro enables Underwriters to focus on the key underwriting issues.

Order & Review Inspections (Loss Control)

ReSource Pro enters Insured & location data into inspection company web site to request inspection.  ReSource Pro receives the completed inspection report and saves it to the Program Manager network. 

ReSource Pro reviews the inspection against program parameters & application data.  If all is in agreement, ReSource Pro forwards the inspection to client & Underwriter.  If there are discrepancies, ReSource Pro prepares a letter for the Underwriter to highlight issues & offer recommendations.  ReSource Pro follows up for responses to the recommendations and reviews the responses for compliance.
